What Is Workflow Automation?

Workflow automation in your CRM allows you to create automatic actions triggered by specific events. It helps you save time, eliminate repetitive tasks, and reduce human error — all while staying consistent with your customer experience.

Example: Automating Your Hair Quiz Follow-Up

When someone fills out your hair quiz, a workflow can automatically:

  • Add their contact information to your CRM.

  • Send a personalized thank-you text or email.

  • Tag them based on their hair type or specific concerns.

  • Trigger a follow-up email with tailored product tips and recommendations.

And the best part? It all happens without you lifting a finger.

Smart Marketing Follow-Ups

Use workflows to send targeted messages based on quiz responses or consultation forms.

Example:
If a client selects
“scalp issues” in your quiz, they can automatically receive:

  • An email with your top scalp care tips.

  • Product recommendations tailored to their concern.

What Are Triggers and Actions?

Think of triggers and actions like cause and effect — they tell your CRM what to do and when to do it automatically.

Triggers = The Starting Point

A trigger is what kicks off an automation. It’s like saying, “When this happens…”

Examples:

  • Someone fills out a form.

  • A new appointment is booked.

  • A customer replies to your message.

Actions = What Happens Next

An action is what your CRM does after the trigger. It’s like saying, “…then do this.”

Examples:

  • Send an email or text message.

  • Add a note or tag to the customer profile.

  • Assign the contact to a team member.

  • Move them forward in your sales process.

With your CRM, you can link multiple actions together to save more time and keep everything running smoothly—automatically. It works on a simple rule: when one thing happens, the next step follows on its own. This helps you stay organized, respond faster, and keep your follow-ups consistent without any extra effort.

How to Set Up a Workflow

Step 1: Navigate to Workflows
From your account dashboard, go to:
Automation → Workflows

Automaton

Step 2: Click “+ Create Workflow”

You’ll be presented with two options:

  • Start from Scratch: Build your workflow step-by-step, fully customized.

  • Use a Recipe or Template: Pick from pre-built automations designed for common tasks.

Step 3: Choose a Template (or Create Your Own)

Your CRM offers ready-made templates to help you get started quickly and easily.

Here are some popular options:

  • Lead Follow-Up:
Example: When someone fills out your hair consultation, they automatically receive a
    “Thanks for reaching out!” email.

  • Birthday Texts:
Surprise clients and team members with an automatic
    “Happy Birthday!” message.

  • Client Onboarding:
Automate your onboarding process to set clients up for success.
Example: After a client buys your Realty Excellence Serum, they receive a quick-start email, a follow-up text with usage tips, and a link to a how-to video.

You can use one of these templates as-is or customize and combine them to match your business goals perfectly.

Step 4: Choose What Starts the Automation (Add a Trigger)

A trigger tells your system when to start a task — like pressing a “start” button. Think of it as: “When this happens… begin the process.”

Here are some simple examples of triggers:

  • Someone fills out a form: For example, a contact or booking form on your website.

  • You add a tag to a contact: Like marking a lead as “Follow Up” or “Interested.”

  • Someone opens an email: Great for sending an automatic follow-up after they read your message.

Picking the right trigger ensures your system knows exactly when to spring into action — all automatically.

In the video below, you’ll see how easy it is to find the trigger you need. You can scroll through the list or use the search bar to quickly find what you’re looking for.

Whether it’s a form submission, a tag added, an email opened, or any other event — just type in a keyword, and matching triggers will pop up instantly. It’s a fast and intuitive way to get your workflow started.

Trigger

Step 5: Define What Happens Next (Add Actions)

Now that you’ve set your trigger (the event that starts your automation), it’s time to decide what your system should do next — these are called actions. Think of it as: “When this happens, then do this.”

Here are some example actions you can add:

  • Send a Confirmation Text:
Example:Thanks for completing my hair consultation form! I’ll take a look and share some product recommendations with you soon.

  • Add the Lead to a Pipeline:
Example: Move a new contact into your
“Interested in Products” or “New Lead” stage, so you can easily track their progress.

You can add just one action or combine multiple actions to create a smart, time-saving system that runs automatically.

In the video below, you’ll see how to add an action step to your workflow. Just like with triggers, you can scroll through the list or use the search bar to find exactly what you need.

Actions

Step 6: Save and Test Your Workflow

Click “Save”, then select “Test Workflow” to ensure everything is working correctly before going live.

Final Tip

Workflows make it easy to run your business smoothly, grow with ease, and keep the focus on your clients. Once your first automations are set up in the CRM, everyday tasks start to feel effortless—and it’s hard to imagine working without them.
